- Client Contact & Account Details: Name, professional email address, business or channel name, messaging correspondence, and project specifications necessary to manage client engagements and deliverables.
- Publishing Identifiers: Basic account, channel, or page identifiers required for publishing video content where automated or integrated publishing workflows are utilized.
- Publishing Status & Authentication Tokens: Upload status, publishing logs, and secure OAuth authentication tokens required for authorized publishing actions on connected third-party platforms.
2. How We Use Information
The information and materials accessed by CutWave Studio are used strictly for legitimate operational, service delivery, and documented publishing workflows. This includes:
- Performing requested video editing, post-production, motion graphics, color grading, and sound design in accordance with client specifications.
- Communicating with clients regarding project milestones, feedback, revisions, delivery, and billing.
- Uploading and publishing video content directly to your connected accounts where authorized.
- Verifying the status and technical integrity of content publishing.
- Maintaining our internal publishing workflow, project delivery queues, and schedules.
- Troubleshooting technical rendering, encoding, or publishing issues.
- Displaying authorized portfolio examples and approved behind-the-scenes content, strictly subject to client permission and confidentiality agreements.
We do not sell, rent, or share client information or client project files with third parties for advertising or marketing purposes.
3. Portfolio, Behind-the-Scenes Content, and Promotional Use
CutWave Studio may process and display limited project material for its public portfolio, professional presentations, and social media marketing activities where it has obtained the necessary authorization from the client. Potential material may include:
- Approved portions or final excerpts of completed client videos.
- Selected video frames, still captures, or video thumbnails.
- Approved before-and-after editing comparisons demonstrating color correction, grading, pacing, or audio cleanup.
- Editing software timeline screenshots, screen recordings, or workflow demonstrations.
- Short clips showing post-production techniques, motion graphic animations, transitions, or sound design.
- Publicly approved client names, channel handles, brand names, logos, or project descriptions.
These materials are used solely to demonstrate the studio's editing craftsmanship, artistic quality, and post-production capabilities to prospective clients and our creative community. CutWave Studio maintains strict standards regarding promotional content:
- Strict Prior Authorization: Where permission is required, project material will not be published until the required authorization has been obtained from the client.
- Protection of Confidential & Sensitive Content: CutWave Studio will not intentionally expose confidential source footage, full unedited video recordings, private client communications, personal information, login credentials, or restricted project details in promotional material.
- No Assumed or Blanket Consent: Purchasing video editing services, transferring footage, or approving a final deliverable does not constitute automatic or blanket consent to publish confidential, raw, or unreleased materials.
4. Data Minimization and Protection of Client Materials
CutWave Studio strictly distinguishes between ordinary, authorized portfolio materials and private client information, applying the following core data protection principles:
- Data Minimization: Only material strictly necessary for the approved portfolio or marketing purpose is selected. We avoid including extraneous footage, broader timeline context, or unrelated files.
- Concealment of Sensitive Interface Elements: Any sensitive information visible within editing software, timelines, track names, file paths, project filenames, system notifications, or screen recordings must be removed, cropped, blurred, or otherwise permanently concealed before publication.
- Confidentiality and Contractual Handling: Client footage, audio files, and proprietary project files must be handled strictly according to the applicable service agreement, NDA, and confidentiality obligations.
- No Sale or Unrelated Exploitation: Promotional use does not authorize the sale, licensing, commercial transfer, or independent exploitation of client source footage or private project files.
- Access Does Not Equal Marketing Material: Client information and media must not be included in marketing content simply because it was accessible or handled during the post-production process.
- Third-Party Platform Rules: Any third-party platform used for publication (including Instagram, Facebook, and YouTube) remains subject to its own applicable terms and privacy policies.
5. Authentication & Connected Platforms
Our tools utilize OAuth-based connections to integrate securely with external platforms. These connections authorize our systems to perform specific actions on your behalf without requiring your raw passwords. Connections may involve platforms such as:
- Google / YouTube
- Meta / Facebook
6. Data Storage & Security
We implement appropriate measures to protect the information used in our workflow:
- Authentication tokens are stored securely and used exclusively by our internal systems for authorized publishing.
- Video files may be stored temporarily on our infrastructure during the rendering and processing stages.
- These temporary video files are removed once the publishing workflow is complete.

Authentication tokens are retained only for as long as needed to maintain the documented publishing workflow. If you wish to revoke our access, you may do so directly through the security settings of the relevant Google or Meta account.
9. Withdrawal and Removal Requests
Clients who have authorized portfolio or promotional use may request that future promotional use be discontinued or that previously published promotional material be removed:
- Contacting CutWave Studio: Clients may contact CutWave Studio at [email protected] with the subject line "Promotional Privacy & Removal Request" to request that future portfolio or promotional use of their project be discontinued, or to request removal of previously published material.
- Review and Resolution: CutWave Studio will review and handle these requests within a reasonable period, subject to applicable legal obligations and any existing contractual requirements.
- Removal on Controlled Channels: Where reasonably practicable, CutWave Studio will remove or disable access to the relevant promotional material on channels, social accounts, and websites it controls.
- Third-Party Limitations: CutWave Studio cannot guarantee the removal of copies, screenshots, shares, caches, search engine previews, or reposts independently retained or distributed by third parties outside its control.
- Contractual Independence: A request to withdraw promotional consent or remove marketing content does not automatically cancel unrelated contractual obligations or guarantee removal from every third-party system.

Users and clients retain control over their integrations and personal data:
- Connected Platforms: Users with connected platform access can revoke authorization at any time through the relevant platform's account or security settings, which will immediately cease our system's access to those platforms.
- Promotional Preferences: Clients can decide whether to grant portfolio permissions, behind-the-scenes permissions, both, or neither, and may communicate confidentiality or embargo requirements before or during the project.
- Removal Inquiries: Clients may contact us at any time to request updates or removal of promotional features displaying their work.
